Sports Pavilion
Terms & Conditions

These conditions will govern the use & hire of the Sports Pavilion managed by the Dishforth Community Association (DCA) on behalf of Dishforth Parish Council (DPC) and located at Mowbray Avenue, Dishforth.

 

The Pavilion is available to hire 7 days a week throughout the year.

 

1. General Terms & Conditions

1.1. DPC is insured against any claims arising out of its own negligence.

1.2. Hirers should ensure that their own insurance is in place and appropriate for their activities.

1.3. Any items held in the pavilion before, during or after the hire period are not covered by DPC insurance.

1.4. Neither DCA/DPC nor the Hirer shall be liable for any failure to perform its obligations under this agreement due to a force majeure event. Force majeure events include, but are not limited to, acts of God, war, terrorism, fire, flood, epidemic, or government restrictions. If a force majeure event occurs, the affected party shall notify the other party as soon as practical, providing details of the event and its expected duration. Performance of obligations shall be suspended during the force majeure event, and the parties will negotiate in good faith to resume performance as soon as reasonably practicable.

1.5. The hirer is responsible for obtaining their own insurance to cover any losses or damages arising from a force majeure event.

1.6. Anyone using this facility, do so at their own risk. Liability will not be accepted for any personal injury or loss or damage of valuables.

1.7. All users of the facility must behave in a manner that does not cause damage to property, or injury or nuisance to other users or the general public. 1.8. All hirers are to report any damage to dca@dishforthvillage.com

1.9. Children under the age of 16 years must be accompanied by a responsible adult.

1.10. The Pavilion is strictly a NO SMOKING and NO VAPING area.

 

2. Terms & Conditions for hiring the Sports Pavilion.

No bookings will be accepted or confirmed without acceptance of the above general T&Cs and the following specific T&Cs.

2.2. The hire rates shown on our website will be reviewed annually and any changes will take effect from 1st April each year

2.3. The person who submits a booking request shall be deemed the hirer and will be responsible for payment of all fees payable in respect of the hire.

2.4. The hirer must be 18 yrs of age or over.

2.5. The hirer will be responsible for all users of the Pavilion during the booked session and as such will be liable to pay for any damage. Abuse of this condition will result in the hirer’s booking(s) being cancelled.

2.6. Hire of the pavilion does not include exclusive use of the whole or part of the playing fields or children's playground.

2.7. It is suggested for children's parties the hall be booked for a minimum of 4 hours to allow sufficient time for setting up and clearing away. Similarly, a minimum of 6 hours should be allowed for adult parties. Where events run after 10.30pm, subject to availability and prior arrangement with DCA, the hirer may be allowed access the following day to clear away.

2.8. The Pavilion must be vacated by midnight where an event is being held in the evening.

2.9. All bookings must be made at least 48 hours before the session by contacting DCA on dca@dishforthvillage.com.

2.10. Block bookings are permitted up to a maximum of 6 months at a time with the onus on the group to re‐book.

2.11. Payment by BACS transfer is required at time of booking. Block bookings will be required to set up a standing order for regular payments in advance of the reserved dates. Details will be provided at the time of booking.

2.12. No booking shall be considered confirmed until the hirer has received a booking confirmation email.

2.13. The Hirer must not make any modifications or additions to the rented premises, equipment, or fixtures without first obtaining written approval from the Hall. This restriction includes attaching any items to the walls, floors, ceilings, furniture, or any part of the building.

2.14. The Hirer is prohibited from interfering with or altering the electrical wiring, lighting, heating, layout, or any other installations within the premises.

2.15. Any changes, installations, additions, or variations made without the written consent of DCA will be considered damage caused by the Hirer. The Hirer will be responsible for covering all costs required to restore the premises to their original condition

2.16. Any additional electrical equipment brought into the Pavilion is the responsibility of the hirer(s) and must meet electrical safety standards and bear a current PAT label.

2.17. No external electrical equipment that requires cables to cross the road shall be connected to the Pavilion supply.

2.18. There is limited refuse disposal available, any excess refuse should be removed by the hirer. If the Pavilion is not tidied up, the hirer will incur an extra charge for the time required to clean and future hires may be refused.

2.19. No dogs are allowed in the Pavilion except for registered Guide dogs.

 

2.20. Cancellations: DCA reserve the right to charge the full hire fee if a booking is cancelled within 48 hours of the booking date. The hirer can ask for the booking to be moved to a later date subject to availability.

 

3. Safety Policies

3.1. Health & Safety: Hirers must agree to abide by the DCA Health and Safety policy available to view on this website.

3.2. Child Protection: Hirers must ensure appropriate protection of any child involved in activities on the premises.

3.3. Risk Assessment All organised groups using the Pavilion are required to complete their own Risk Assessment which should include the contact details for next of kin in case of emergency.

Fire!

If you discover a fire, raise the alarm and evacuate the building, call the Fire Brigade and leave it to the experts.

Fire Extinguishers are provided at the exits; however, the safety of the individual is paramount.

DO NOT TAKE RISKS - KEEP ALL EXITS CLEAR AND READILY ACCESSIBLE

 

 

4. Acceptance of the Terms & Conditions

Hire & use of the Pavilion is subject to the Terms and Conditions herein. By making a booking and/using the Pavilion, the hirer accepts these Terms and Conditions. Anyone observed breaking these Terms & Conditions will be asked to leave the facility and future hire may be refused.
